Job Title: Client Services Administrator (CSA)- EPIC Calgary/Edmonton

Primary Purpose of the Job: To provide front-end client service and create a welcoming and comfortable environment for all Clients. Procure resource materials and ensure materials are accessible. Provide supported referrals to clientele. Develop connections with human service agencies in the region. Report to and provide administrative support to the Program Manager. Provide administrative support and data entry to the program and other areas as needed.

Reports to: Program Manager

Duties and Responsibilities:

  • Welcome clients– whenever possible, greet individuals by name
  • Direct clients to resources that best suit their needs, such as publications, templates, online resources/websites, MCG-developed resource materials, help lines, other service providers, government agencies, community resources, etc.
  • Conduct eligibility screening of potential clients.
  • Direct/refer clients to internal and external services best suited to their needs; this could include supported referrals to arrange for wrap-around case management.
  • Answer the phone in a pleasant & timely manner – explain program and services; book appointments; transfer calls where required; take messages for clients/staff; explain eligibility requirements.
  • Timely email responses to server submissions and ad-posted leads.
  • Schedule clients for registration process – Information intake, Assessments, One-on-One EDA appointments when required.
  • Organize tracking of inquiry status (date of contract, prescreen completion etc.)
  • Complete and assist with photocopying/faxing/printing of documents for staff and clients.
  • Troubleshoot computer/printer/photocopier issues – fix problems or complete IS work order form.
  • Administer Government and internal database entry as required. 
  • Assist with month-end report preparation as required.
  • Social Media Presence
  • Other duties as assigned.

Qualifications:

  • Post-secondary education in administrative management or a related area or two years of direct experience
  • Experience working in a client-based industry.
  • Experience and/or understanding of working with clients facing barriers to employment and/ or support in the community.
  • Experience handling sensitive information and handling personnel matters with discretion.
  • Ability to work effectively in a fast-paced, professional environment.
  • Apply critical thinking techniques in challenging situations.
  • Communication and problem-solving skills, exceptional client service, and people skills
  • Experience in resource identification and procurement.
  • Demonstrate flexibility and adaptability.
  • Working knowledge of database management 
  • Working knowledge of MS Office
  • Knowledge of local community resources and agencies
