Job Qualifications:

  • Completing a post-secondary education in Business, Accounting, or Finance is required, with a bachelor’s degree preferred.
  • A minimum of one year of accounting or finance experience within a service-oriented
  • The environment is essential.
  • Proven experience working in a financial aid office is highly desirable, showcasing a strong understanding of financial aid processes.
  • A comprehensive knowledge of federal and state financial aid programs and regulations is crucial.
  • Demonstrated excellence in customer service skills.
  • Strong analytical and problem-solving skills to navigate complex scenarios.
  • Ability to explain intricate policies and regulations in a manner that is accessible and understandable for students.
  • Proficiency in QuickBooks and related financial management tools is necessary to perform job functions efficiently.

Duties:

  • Processing and Compliance: Ensure timely, accurate processing of financial aid applications while adhering to rigorous financial controls and reporting systems.
  • This includes managing the confirmation of funds received from provincial and federal government loan agencies.
  • Student Advising: Provide thorough and professional financial aid advising to students through various communication channels such as email, phone, and in-person consultations. All interactions must align with the college’s confidentiality policies, ensuring each student receives personal and sensitive support.
  • Information Dissemination: Offer detailed information to both staff and students about key topics related to financial aid, such as enrollment confirmations, interest-free status, processing timelines, and government policies and procedures.
  • System Troubleshooting: Utilize system expertise to identify and resolve issues related to batch loan processes.
  • Work collaboratively with internal systems experts to propose necessary changes or enhancements that align with government regulations.
  • Loan Application Facilitation: Oversee the loan application process, assessing student eligibility in strict compliance with regulatory guidelines. This includes approving and originating funding and advising students on additional processes related to their eligibility for Canadian student funding.
  • Transaction Monitoring: Regularly monitor and reconcile transactions within the financial reporting system, particularly focusing on the Canadian Direct Loan program to ensure accurate financial tracking
  • Financial Planning Assistance: Collaborate with students to create effective payment and financial assistance plans that integrate government funding, college scholarships, and other personal resources.
  • Form Development: Assist in the creation and updating of operational forms specific to financial aid to enhance workflow efficiency.
  • Regulatory Knowledge Maintenance: Stay up-to-date with the latest Federal and College financial aid and loan regulations to provide students with accurate information.
  • Reporting and Application Compilation: Compile necessary reports and completion of applications required by the Department of Finance.
  • Campus Outreach: Conduct visits to provide information and guidance to students, parents, and school groups regarding financial aid opportunities.
  • Team Collaboration: Work effectively as a cooperative team member with all college departments to promote a holistic support system for students.
  • Academic Progress Oversight: Monitor all activities related to satisfactory academic progress to ensure compliance with federal and state regulations.
  • Budget Participation: Engage in the development of the annual financial aid department budget to ensure appropriate allocation of resources.
  • Vendor Collaboration: Facilitate communication and coordination with lenders, servicers, and other third-party vendors as necessary to streamline processes.
  • Billing Management: Ensure timely and accurate billing of tuition, fees, and other student charges to maintain financial integrity.
  • Financial Literacy Support: Demonstrate a strong foundation in financial literacy, providing assistance to students in understanding their financial responsibilities and aiding in decision-making processes.
